How To - Retrieve A Previous Version Of A File From SharePoint
- Open the SharePoint site for your department – example https://horizondistributorsltd.sharepoint.com/sites/MarketingTeam
- Navigate to the file that you need to revert back to a previous version
- Mouse over the file and left click on the 3 vertical dots that are to the right of the file name
- Choose “Version History” towards the bottom of the drop down menu
- The pop-up window will display all the different versions of the file, left click on the date desired and then choose “Restore” which will revert the file to version that was present on the date chosen
This ability is for convenience only and Office365 does not keep a version history for every minor change that is made to a file. Generally, there will only be 1 previous version per day so reverting to what’s available may not help depending on the situation.
Also be aware that Horizon has a second layer of backups that occur daily (7 days per week) for all files in SharePoint for all departments. Again, depending on the situation, our own backups may be better than going back to a previous version. Our own backups do not take a long time (less than 5 min) to restore individual files but there maybe a wait of up to an hour if a large number of files or folders need to be restored.
